Your roster
The roster is the list of sellers who raise money for your organization. Each member gets a personal link the moment you add them, and orders placed through it are credited to that member. Only owners and admins can see or change the roster. A volunteer does not see Members in the side navigation.
A roster entry is not a login. A member’s sales are credited whether or not the member has an account, an email address, or both. For how the link, the QR code and the 30-day credit work, see Attribution.
Add a member
Section titled “Add a member”- Open Members under People in the Console side navigation. The page is titled Member Roster.
- Select Add Member.
- Enter a Name. It is the only required field, up to 200 characters.
- Optionally enter an Email (optional) and a Phone (optional). Two members of the same organization cannot share an email address, in any capitalization, and the dialog tells you if one already does.
- Tick Minor when a parent or guardian holds the account and gets the invites. UnitTally asks for no age.
- If your organization already has groups, tick any under Groups (optional).
- Select Add member.
To correct a member later, use Edit on their page, described under Edit a member. A member who signs in to their own account can also change their own name, email and phone with Edit details.
Find a member
Section titled “Find a member”The roster lists 50 members to a page, in name order, with Showing 1-50 of N and page buttons below. Type in the search box to match part of a name, or a full email address. Part of an email address does not match. Once your organization has a group, a dropdown beside the search box filters the list to All groups or one group. Select Clear search and filters when nothing matches.
Import members from a CSV
Section titled “Import members from a CSV”Use Import CSV to add many members at once. An import adds roster entries only and sends no invitations.
- On the roster, select Import CSV.
- Optionally select Download a template to start from a file with the right headers.
- Click the drop area or drag a
.csvfile onto it. The first row must be headers. - Read the preview before anything is added.
- Select Import N members, or Choose a different file to start over.
The file can hold up to about 5 MB of text and has no separate row limit.
Columns
Section titled “Columns”Only name is required. The rest are optional, and any other column is ignored.
| Column | What goes in it |
|---|---|
name |
The member’s name, up to 200 characters. |
email |
A valid email address, or blank. |
phone |
Any text, or blank. |
minor |
yes or no. The importer also reads true, false, y, n, t, f, 1 and 0, and a blank cell counts as no. |
group |
A group name. A name that matches an existing group, in any capitalization, joins that group. Any other name creates a new group. |
Headers are not case sensitive. These alternates also work: full name, email address, phone number, is minor, is a minor, group name, team and section.
The preview
Section titled “The preview”The preview shows how many rows will be imported, then lists what is skipped.
- Duplicates. A row is skipped when a member already on the roster has the same email, or when an earlier row in the same file has it. Matching ignores capitalization and uses email only. A row with no email is never matched, so importing the same file twice adds those members twice.
- Bad rows. A row with no name, an email that is not valid, or a
minorcell that is not one of the values above is skipped with its reason. The count of rows with errors counts a row once however many reasons it has, and leaves out repeats of an earlier row, which have their own count. The preview lists the first 10 reasons as Row N, where N is the row number in your spreadsheet with the header as row 1, then …and N more. - New groups. The preview names the groups the import creates.
- Sample. A table shows the first five rows to be imported: Name, Email, Phone, Minor and Group.
Import N members is unavailable when no row is valid. The rest of the file imports even if some rows are skipped. You have 30 minutes between the preview and the import before the preview expires, and you upload the file again.
An import of up to 500 valid rows finishes right away, with a notice such as Added 12 members. Skipped 2 duplicates. Created 1 group. A larger import runs in the background, and the notice asks you to refresh the roster in a minute.
Invite a member or guardian to sign in
Section titled “Invite a member or guardian to sign in”An invitation lets the member, or a parent or guardian, sign in to see the member’s link, QR code and sales. Credit works without it, so invite only the people who want to sign in.
- On the roster, find the member’s row and select Invite in the Account column. For a minor, it reads Invite guardian once a guardian has an account or a pending invitation.
- Under Who is this invite for?, choose The member themselves or A parent or guardian. The answer becomes the account’s type, Member or Parent. A minor’s invitations are always for a parent or guardian, so the question offers only that choice.
- Enter the email. For The member themselves it starts as the email on file, labeled Member’s email. For A parent or guardian it starts blank and is labeled Parent / guardian email.
- Select Send invitation.
A member has at most one account of their own. While the member has a login of their own, or an invitation for one is pending, The member themselves is not offered, and the invitation can only go to a parent or guardian. If an invitation for the member themselves is sent anyway, for example from a second tab, it is refused with This member already has their own login or a pending invite for it. Revoke the pending invitation, or switch the account’s type, to free the slot.
Each invitation is good for 7 days. The row shows where the newest one stands, unless an older one is still pending.
| Row shows | What it means |
|---|---|
| Invite | No account, and no invitation on record. An expired or revoked invitation is cleared after 90 days. |
| Pending, Resend, Revoke | An invitation is out and unanswered. With more than one, these act on the newest pending one, even when a later invitation expired, was revoked or was accepted. Resend emails a new link and the old one stops working, but the 7 days do not restart. Resends need at least 60 seconds between them. Revoke asks you to confirm, then cancels it. |
| Expired or Revoked, Invite | The newest invitation ran out unanswered, or you revoked it, and no other invitation is pending and no login is linked. Send a new one with Invite, and the row shows Pending again. |
| Account active | A login is linked to the member. It stays linked after the accepted invitation is cleared 90 days later. For a minor, a pending guardian invitation shows Pending beside it. |
Invite stays on every row, because a parent or guardian can always be invited, so you can add a second or third guardian. A minor’s button reads Invite guardian once a guardian has an account or a pending invitation.
The member page
Section titled “The member page”Select a member’s name on the roster to open their page. Back to roster returns you.
- Top of the page. The member’s name, a Minor badge when it applies, and their group badges with a button to change them. Copy share link copies the member’s personal link, QR code opens Share your link with Copy link and Download QR, and Invite (Invite guardian for a minor) opens the same invitation dialog as the roster. An owner or admin also sees Replace link, for a link that leaked or was printed wrong. After a confirm, the old link and any printed QR code stop working and Share your link opens on the new one. Orders already credited stay with the member. Nothing is emailed, so give the member the new link. A signed-in member sees it on their own page.
- Details. Email, Phone, Minor and On roster since. An owner or admin also sees Edit.
- Account (Guardian accounts for a minor). Each login linked to the member, by its sign-in email, with Account active and its type, Member or Parent, and each open invitation with its type, Invited and its expiry date. Resend and revoke are on the roster, not here. An owner or admin also sees Change to Parent on a Member account, and Change to Member on a Parent account of an adult. A minor’s accounts can only be Parent, so they show no switch to Member, and the switch to Member is also unavailable while the member’s own login or a pending invitation for one holds the slot.
- Sales credited to this member. The 25 most recent orders credited to the member, newest first, with Order, Date, Customer, Payment, Total and Status. Select an order number to open it. A line reading Showing the 25 most recent of N orders appears when there are more.
- Cash balance. The cash, check and Venmo sales whose money the member holds, less refunds, remittances and write-offs. See Cash and hand-offs.
Edit a member
Section titled “Edit a member”An owner or admin can correct a member’s name, email, phone or Minor setting without changing their link.
- Open the member’s page from the roster.
- On the Details card, select Edit. The Edit member dialog opens with the current details.
- Change what is wrong. Name is required. Clear Email (optional) or Phone (optional) to remove it. Minor carries the same hint as when adding a member.
- Select Save changes. The notice Member updated follows.
The share link and QR code stay the same, so links and codes already handed out keep crediting the member. Two members of the same organization cannot share an email address, and the dialog says so under Email (optional) if another member already uses it. Changing Minor does not change who is already signed in for the member.
Groups
Section titled “Groups”A group is a team, grade, den or section. A member can belong to more than one. Groups filter the roster and, on Plus and Pro, drive the standings on your storefront.
Create, rename and delete groups
Section titled “Create, rename and delete groups”- On the roster, select Manage groups. The page is titled Member Groups.
- Type a name in New group name and select Add Group. A name can be up to 100 characters, and two groups cannot share a name in any capitalization.
- To rename a group, use the pencil button, edit the name, and use the check button to save.
- To delete a group, use the trash button and confirm. The group’s members leave the group and stay on your roster, and their sales are untouched.
Each group shows its member count, such as 3 members. Select it to open the roster filtered to that group.
Put members in groups
Section titled “Put members in groups”- On the roster, use the Groups column. Select Add to group for a member with none, or the arrow beside their badges, then tick or clear groups. Each change saves at once.
- On a member’s page, use the same control beside the group badges.
- Tick groups in the Add Member dialog, or name them in a CSV’s
groupcolumn, as described above.
Show group standings on a campaign
Section titled “Show group standings on a campaign”Group standings are a table on a campaign’s storefront page with each group’s raised amount and order count. It shows group totals only, never one member’s figures. A member in more than one group counts toward only the first of them in the Member Groups list.
- Open the campaign and select its Details tab.
- Switch on Show group standings.
- Select Save Changes.
The switch is off by default and is set per campaign. It appears on the Plus and Pro plans. On Free, Details shows an upgrade prompt in its place, and Member Groups shows one too. The table is titled Group Standings on Plus and Competitions on Pro. Attribution describes the rest in Group standings.
Remove a member
Section titled “Remove a member”- On the roster, select the trash button at the end of the member’s row.
- Read the dialog, which lists what removal does, then select Remove member. The notice Member removed follows.
A member whose cash balance is not zero cannot be removed, and the console says Could not remove the member. When the member still holds cash, it says to use Record hand-off on their page to record the payment or a write-off first. When the balance is below zero, either from a hand-off recorded too high or a refund after their cash came in, it says to correct it with Void or Record hand-off on their page first. Cash and hand-offs describes both.
Before you remove someone, know what changes.
- Their page is gone. The member no longer appears on the roster, in the group pickers or in group counts, and their page cannot be opened. Removal cannot be undone. You can add the same email as a new member, who gets a new link.
- Their orders are kept. No order is deleted or refunded, and payment and fulfillment are unchanged. The orders list and the order page keep showing the member’s name, marked (removed), and the credit can’t be moved to someone else. These orders are not listed under Pending attribution only.
- Standings drop them. Their orders no longer count toward any group’s standings.
- Their link stops. Opening it no longer credits anyone, and the buyer sees a note that the link no longer works.
- Their accounts lose access. A member or parent signed in for that member loses the member’s page.
